RECORDS/DOCUMENT MANAGER

 

Financial & Realty Services, LLC, dba FRS Professional Services (FRS) in Calverton, MD is seeking a detail-oriented and organized Records/Document Manager to work in Washington, DC. The ideal candidate will ensure that information is managed effectively, securely, and in compliance with legal and regulatory requirements.

 

Responsibilities:

 

  • Review organization structure and consult with Asset Management, Development, Finance, and Legal teams to identify typical records maintained by large Private Housing Authorities (PHAs).
  • Develop a complete inventory of paper and electronic files across all departments and storage locations.
  • Retrieve, scan, and digitize paper files to PDF/A or equivalent archival quality with OCR.
  • Index files with metadata and develop folder structure by property, transaction type, and date.
  • Assess current digital systems (SharePoint, shared drives, Yardi Document Storage etc.) and recommend an integrated digital document management system.
  • Recommend and help implement search, access control, retention, and audit trail protocols.
  • Ensure compliance with data protection, privacy, and retention regulations.
  • Coordinate the transfer, archiving, and disposal of records according to established schedules.
  • Train and support staff on proper records handling and retention procedures.
  • Work with IT and compliance teams to maintain secure electronic record systems.

 

  Qualifications include:

 

  • Bachelor’s degree in Information Management, Library Science, Business Administration, or related field
  • Minimum of 5 years of experience in records or information management
  • Certifications in records management, scanning and security compliance
  • Strong knowledge of records management standards and data protection laws
  • Proficiency with electronic document and records management systems
  • Excellent attention to detail, organizational, and communication skills
